Senior Office Support Assistant

 

STARTING ANNUAL SALARY: $25,536 (commensurate with education and experience)

 

Full-time, benefited position

 

The Missouri Department of Insurance, Financial Institutions and Professional Registration, Division of Consumer Affairs, has a full-time position located in Jefferson City, Missouri.

 

This is intermediate level clerical and typing work of moderate difficulty and complexity involving a variety of tasks requiring independent work decisions within established policies. An employee in this position is responsible for providing clerical support for the Investigations Section and the Division Director of Consumer Affairs. Work may involve performing secretarial duties for one or more individuals where shorthand skills are not required. Work may involve providing training and guidance to new employees and acting as a lead worker or supervisor over routine clerical operations. Until the more difficult phases of work are learned, the employee works under close supervision, but thereafter, specific instructions are received only when changes in procedures are made. Assistance is normally available from a superior when unusual or difficult problems arise.

 

EXAMPLES OF WORK PERFORMED: (Duties and responsibilities may be added, deleted, or changed at any time at the discretion of management, formally or informally, either verbally or in writing.)

Compose and type responses to consumers and other state insurance departments regarding insurance producers and investigative information which may require an exercise of judgment and maintaining those inquiries in the case tracking system; some information is confidential and not subject to disclosure. Type all dictation, correspondence and legal documents, including subpoenas for investigators in the section. Process and record certified legal document requests. Coordinate the processing of insurance producer and applicant investigative cases, including assigning cases, closing files and maintaining information in the case tracking system.   Maintain and create reports using the case tracking system to show number of complaints received and enforcement actions taken. Maintain fraud reports to track the number and types of fraud reports received. Receive and answer telephone calls and respond to inquiries on complaints, subpoenas and correspondence and maintain those contacts in the case tracking system. Process and distribute mail to staff and prepare certified mail. Perform other related duties as assigned.

 

EXAMPLES OF REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

Working knowledge of business English and spelling. Working knowledge of modern office practices, procedures, and equipment. Ability to type accurately from rough draft or plain copy. Ability to maintain moderately complex clerical records and to prepare reports from such records. Ability to make routine decisions in accordance with procedures, laws, and regulations and to apply these to work problems. Ability to operate a personal computer and standard office equipment. Ability to effectively communicate with insurance industry representatives, department personnel and the general public.

 

EXPERIENCE AND TRAINING QUALIFICATIONS:

Two or more years of experience as Office Support Assistant working for the State of Missouri and possession of a high school diploma or GED OR Three or more years clerical or general office work and high school diploma or GED.
